Siebel School Robotics Lab Guidelines

The Robotics Lab Space is designed to facilitate high-impact research and development in robotics, ensuring that resources are efficiently utilized while minimizing conflicts between users. The purpose of this document is to establish clear procedures for the allocation, management, and usage of the robotics lab space located in rooms 1103 and 1105 of Siebel Center.
Space Request and Allocation
Space request and renewal process
Requests for lab space must be made at least 30 days in advance (form here) and should include project name and description, primary contact and faculty sponsor, equipment list and space requirements, and any special requirements such as environmental considerations or noise levels. Renewal requests must be submitted 30 days before the end date. If space is overbooked, priority will be given to funded and high-impact projects.
All requesters are required to review the UIUC Division of Research Safety (DRS) Policy tutorials (excluding the Lab Risk Assessment tutorial). Upon completion, please email the confirmation page as a PDF or screenshot to Irving Solis at juanis@illinois.edu.
Space allocation and priorities
Lab space will be allocated based on project needs, funding status, and availability. Requests must be submitted to the lab manager, specifying the required space, duration, and project details. Allocations will be reviewed periodically, and renewal requests must be submitted at least 30 days before expiration.
Modifications to allocations
Changes to space allocations may be made due to long-term project inactivity or reallocation for higher-priority research. Requests for modifications should be submitted to the lab manager for approval.
Lab Access and Usage
- Access is granted only to approved personnel with valid credentials.
- Users must ensure that lab doors remain closed and secured.
- No food or drinks are allowed in lab areas.
- Personal belongings must be placed in the designated shelves or boxes and are strictly prohibited on desks or in the robot operation area.
- Users must not modify or relocate shared equipment without permission.
- Unless explicitly authorized, users should not use space or tools assigned to other projects.
Risk Mitigation and Safety
- Projects with potential safety risks must submit a risk mitigation plan before starting. This includes identifying electrical, mechanical, or chemical hazards, implementing mitigation strategies such as training and protective barriers, and ensuring compliance with institutional safety policies.
- All personnel working in the lab must complete mandatory safety training.
- For high-risk projects, users must sign a training acknowledgment form.
- For robot operations, please follow these Robotics Lab Space Safety Rules.
- Trip hazards such as cables must be secured and kept away from walkways, e.g., by taping down or using a cable tray.
- The buddy system must be used when operating potentially hazardous equipment.
- Working alone during robot operation is discouraged, and it is strictly prohibited outside of building hours (7AM - 9:30PM).
Violations and Enforcement
Violations of lab policies will result in progressive sanctions, including warnings, mandatory re-training, probationary monitoring, and access revocation for individuals or entire projects.
